Year-End Tech Audit: A 30-Minute Routine for Small Businesses

December is when we get the same call from small businesses across the U.S.: a machine that 'was fine all year' finally gives up in the middle of invoicing season. Almost every one of those failures was visible months earlier. This is the 30-minute, per-machine routine we run for our own fleet clients — steal it.

Minutes 0–5: Finish every update

Open Windows Update or System Settings → General → Software Update on a Mac, install everything pending, and restart — even if 'it never asks.' Do the same for browsers and your accounting or line-of-business apps. Most business malware we remove walks in through an update prompt somebody dismissed for eight months.

Minutes 5–10: Prove your backups actually restore

A backup you've never restored from is a hope, not a backup. Pick one important folder and actually restore it to a test location. Check the last successful backup date on every machine — 'backup ran' is not the same as 'backup succeeded.'

Minutes 10–15: Audit accounts and access

List everyone who can log in to email, banking and cloud storage. Remove anyone who left this year — this step is skipped more often than any other. Turn on multi-factor authentication anywhere it isn't already, and retire any password that's been shared around the office on a sticky note.

Minutes 15–20: Check security basics

Confirm Windows Security or your business antivirus shows green on every machine, and that real-time protection is actually on — malware's first move is switching it off. Run a full scan on any machine that's been 'a bit slow' lately. Then send the team a two-line reminder: unexpected invoices and 'urgent' payment-change emails get verified by phone before anyone clicks.

Minutes 20–25: Hardware health check

Check free disk space (below 10% slows everything and breaks updates), listen for grinding fans, and look at battery health on laptops. A drive that's starting to fail almost always announces itself — slow boots, clicking, corrupted files — weeks before it dies. Catching it now is a $79 tune-up; catching it after is a data recovery job.

Minutes 25–30: Write it down

Update your asset register: which machines exist, their age, warranty status and what got fixed this year. It takes five minutes, it's what your accountant wants at tax time, and it turns next year's 'should we replace this?' argument into a two-minute decision.
